The amount on a repair fee schedule may cover parts, parts and labor, or a charge set by district policy. To understand what breakage cost this fall, total the resources used for the repairs and compare them with payments actually received. Show internal staff effort separately and list unfinished costs and claims. The Breakage Cost Builder and companion one-page summary turn those figures into a record your team can confirm and share.
What Device Breakage Actually Costs Your District

Why repair fees don't tell the whole story.
Your team has identified a breakage pattern. Now the question is what resolving that pattern required from the district. A fee schedule offers a starting price, but its label matters: a parts estimate, a repair-service price, and a family charge can include different things.
That distinction appears in current district guidance. Oak Grove School District labels its schedule as estimated parts costs and explicitly excludes repair time and labor. Regional School District 12 states that its typical repair prices include both parts and labor. [1, 2]
Those figures are useful within their own programs. Putting either number into a district cost report without checking what it includes can leave work uncounted or count it twice. The idea is to assemble the cost of the work already performed. A clear summary separates documented repair costs, internal effort, and recoveries received. We can then use that evidence when the conversation turns to funding or changing the response.

Check what the repair price includes.
For the damage category you are reviewing, identify the source of each amount. Is it the price paid for a component, a vendor repair invoice, or the charge issued to a family? Then identify what is bundled into it.
If a vendor’s service price includes the part, repair labor, and shipping, record the bundled amount once. If your team installs a purchased part, record the part cost and the internal effort separately. A line labeled “screen repair” needs enough detail for someone reviewing the summary to know which situation applies.
Record the resources used for the repairs.
Build the direct-cost total from the parts and consumables used, external repair services, shipping, and damage-related replacements. Tie the entries to a defined group of incidents and record the date of the summary.

Use the cost of parts consumed.
An order of 100 screens is an inventory purchase. If the included repairs used 30 of them, the cost record should represent those 30 screens. The remaining stock will support other work. This distinction helps avoid a purchasing cycle being mistaken for a sudden increase in breakage cost.
Use the district’s recorded unit costs and quantities where available. Keep a vendor bill that is still awaiting confirmation on a pending list. A confirmed amount and an anticipated amount should remain identifiable.
For a device that required replacement, include the replacement cost attributable to that damage. Keep scheduled fleet purchases outside the incident total unless the purchase was specifically required to resolve the included damage.

Include the internal work around the repair.
Bench work is only part of the staff effort. A repair may also require diagnosis, packaging, arranging transport, processing a claim, communicating about a charge, recording a payment, and returning a usable device.
Regional School District 12’s published process explicitly assigns insurance claims, boxing, and shipping to the IT department. Its description illustrates work that can continue even when another organization performs the physical repair. [2]
Record internal hours separately from the direct-cost total. Use actual time records when available. If the district estimates hours from a sample of completed work, identify the sample and the method.
Staff effort value = internal hours × district hourly rate
Use a district-confirmed loaded hourly rate if one is available. The resulting value describes staff capacity consumed. For salaried employees, it is not automatically an additional cash expense. Add only internal effort that is not already represented in a service charge. When a rate is unavailable, report hours.

Separate charges from the remaining district cost. A subsidized repair still uses resources.
Mayfield City Schools publishes an $89 broken-screen repair fee for HP Chromebooks in 2026–2027, but states that the district funds the first repair. It also identifies the listed fees as services from AGIRepair. [3]
That is a practical reason to keep the cost record separate from the billing record. An incident can require a part or service without producing a family charge. Use district policy to determine the charge; use the repair records to establish the resources consumed.

Count the work behind each incident.
Upper St. Clair School District states that repairs are billed at the part level and that multiple damaged parts become separate line items. [4] A single incident can therefore require several components. When summarizing costs, add the relevant line items together while retaining the connection to the original incident.

Count received payments at the snapshot date.
An issued invoice records an amount charged. A received payment records money recovered. Keep net charges after adjustments, received payments, current open balances, and pending claims in separate fields.
The illustration below uses hypothetical amounts to show how those records fit together. It is not a recommended fee or a district benchmark.
| Item | Amount | What the amount means |
| Part and shipping | $70 | $60 component plus $10 shipping |
| Internal effort | $30 | 45 minutes at an illustrative $40 per hour |
| Charge issued | $50 | The amount billed under local policy |
| Payment received | $25 | Recovery recorded so far |
| Open balance | $25 | Still outstanding with no adjustments in this example |
| Net direct cost | $45 | $70 documented cost minus $25 received |
The district still carries $45 of the documented direct cost at this point. Show the additional $30 of internal effort alongside it. If combined, the $75 estimate includes valued staff time as well as the unrecovered direct cost. A later payment changes the recovery figure, so the summary needs an as-of date.

Handle coverage and adjustments consistently
Count each recovery once. If a warranty or credit has already reduced the recorded repair cost, subtracting that same amount again would overstate the recovery. Keep a pending claim separate from a reimbursement received. When coverage pays a repair provider directly, document that treatment so the summary does not imply the district both paid and recovered the same amount.
This record explains the cost of the included incidents. It does not require a change to a district fee policy, and it should not assume that every expense will be billed to a family.
Give unfinished figures a place on the page
A vendor bill still being finalized, missing staff time, or a reimbursement still in progress can change the result after winter break. List those items with the responsible staff member and a follow-up date. Mark unknown amounts as unknown rather than entering zero.
For the same incident group, bring together the documented direct costs, recoveries received, staff hours, and current billing context. Calculate:
Net direct cost = documented direct costs – recoveries received
Keep internal effort in its own line. Include an optional combined estimate only when the time and rate are supported, and label that estimate so a reader can distinguish it from direct spending.
Put the figures to work
Use the Breakage Cost Builder to assemble the cost record, then complete the companion Putting Breakage Cost on a Page summary with your confirmed figures. The download gives the team a shared place to document what is complete and what still needs follow-up.
December ends with a cost summary that IT and finance can explain together. January’s Budgeting the Fix work can use that summary to evaluate a specific change and the resources it would require.

Frequently Asked Questions
What should a school district include in device breakage costs?
A school district’s device breakage costs should include parts and consumables used, external repair services, shipping, and replacements required by the included damage incidents. Report internal staff hours separately. Define the incident group and reporting period so the total reflects the work being reviewed, rather than unrelated inventory or fleet purchases.
How do you calculate the net cost of school device repairs?
Calculate net direct cost by subtracting recoveries actually received from documented direct repair costs for the same incident group. For example, $70 in parts and shipping minus a $25 payment received leaves $45 in net direct cost. Show valued internal staff effort separately and include an as-of date.
Is a Chromebook repair fee the same as the district’s repair cost?
A Chromebook repair fee may represent a parts estimate, a bundled service price, or a family charge set by district policy. It may not equal the resources the district used. Check what the fee includes, then use repair records to establish costs and billing records to track charges and payments.
How should schools account for staff time spent on device repairs?
Record time spent diagnosing, repairing, packaging, shipping, processing claims, communicating, and returning devices to service. Multiply supported hours by a district-confirmed loaded hourly rate when available; otherwise report hours. Identify estimates and their method. Valued salaried staff time represents capacity used and is not automatically an additional cash expense.
Should schools count all purchased replacement parts as breakage costs?
For an incident-based breakage summary, count the parts consumed by the included repairs. If a district buys 100 screens but uses 30 for those repairs, include the recorded cost of the 30 used screens. Keep the remaining stock separate so an inventory purchase does not overstate the cost of that incident group.
Do unpaid student repair charges reduce a district’s breakage costs?
Unpaid repair charges do not represent money recovered. Keep charges issued, adjustments, payments received, and open balances in separate fields. Reduce documented direct costs only by applicable recoveries received as of the summary date. A later payment changes the recovery total and should be reflected in an updated summary.
How should schools include warranty reimbursements and insurance claims in repair costs?
Count each recovery once and keep pending claims separate from reimbursements received. If a warranty or credit already reduced a recorded repair cost, do not subtract it again. Document cases where coverage pays the repair provider directly so the report does not suggest the district both paid and recovered that amount.
What should a school device breakage cost report show?
A device breakage cost report should identify the incidents covered, the as-of date, documented direct costs, recoveries received, net direct cost, and internal staff hours. Include billing balances and pending costs or claims separately. Assign an owner and follow-up date to unresolved items, and mark unknown amounts as unknown rather than zero.
